Our telephone lines are extremely busy this time of year. We have a direct line from Huntsville (256) 534-6922, a direct line from Birmingham (205) 322-7452 and two Toll-Free Nationwide Numbers 1-800-551-6253 and 1-800-551-6254 in addition to the direct-dial numbers to each person on staff.
Thanks to a rollover feature provided by Otelco and Windstream, we can handle five simultaneous calls on any given number. Tracie and Brooke have Christina and Danielle assisting in the front office, so our limit is really four simultaneous calls without someone being placed on “hold”, whether the traffic is on one line or five.
Our two slowest weeks of Tax Season are the last week of February and the first week of March.
This has been true for the last thirty-two years that I’ve been here to witness it. There are basically two groups of people; 1) Those that want to get in and get it done and over with as soon as possible, and 2) Those that want to put it off as long as possible. The result is the lull we experience in the middle.
I closely monitor our phone traffic to ensure that calls get through and hold times are not excessive, but as you can see in the graph below, even during our slowest time, calls peak at 200 on Mondays. The best time to call is any day other than Monday.
