Meet Holly Hutchens, our receptionist. Holly is doing a great job! And she’s assisting Tracie with our online schedule, portal and updating information in our office management software. In addition, Holly is our Project Leader on a new initiative that will allow clients to check-in upon arrival using one of five office provided ipads.
At check-in, the client will be able to verify and update personal information such as address, telephone numbers and email address.
Any updates to client contact information will immediately propagate to our main system and tax software. These new on-line systems are necessary to satisfy a generation of new clients who demand to use the latest technology.
This generation demands to use mobile devices, interact through online portals, and enjoy their experience when dealing with their taxes. We feel that by embracing this new automation we will see an increase in efficiency and a reduction in costs and errors.
Kiosk Check-in System
Introducing a kiosk or iPad system in the tax office lobby instead of handing out clipboards or questionnaires during the tax interview appointment is a unique opportunity. This kind of automated tax office management will allow clients to easily check in, update their contact information and answer important tax questions all from the comfort of our lobby. What a stark contrast to filing out a paper survey with pencil or going through a series of questionnaires.

Ralph Waldo Emerson said, If a man can write a better book, preach a better sermon, or make a better mouse-trap than his neighbor, though he build his house in the woods, the world will make a beaten path to his door.
Embracing New Technology
By streamlining processes, we hope to transform our firm image and improve the client experience. We strive to be perceived as taking care of business and providing exceptional service. This evidence of exceptional service should contribute to our process of creating a unique firm brand. It’s truly a win, win for us. So when our automated tax office management (ATOM) Project is fully implemented, it can become the catalyst for what we are looking for. A differentiator, the edge, and a unique brand that makes our firm stand out from the competition.
